Billing Support at Home services in Teiro

Last updated

What to set up for a Support at Home client, how Teiro works out the contribution category and estimate, what changed for personal care on 1 October 2026, and what each billing hold means.

The short version

Teiro turns each completed Support at Home service into a billing line. The line carries the Service ID, a contribution category and an estimate of what the client contributes. If something is missing, the line is held and says why.

Set up the client

Open the client's record and go to the Funding section. For a Support at Home client, fill in:

  • Care recipient ID. The numeric Services Australia care recipient ID. It is not the My Aged Care ID. Claims need it.
  • Quarterly budget ($). This quarter's budget from the client's notice.
  • Contribution: independence (%) and Contribution: everyday living (%). Copy these from the client's Services Australia letter. Do not work them out from pension status.
  • Contribution: clinical supports (%) is always 0.
  • Approved services (Service IDs). Optional. List the Service IDs on the client's approved plan, separated by commas, for example SERV-0001, SERV-0020. Leave it empty and Teiro does not check.

Set up the service agreement

On the client's Funding tab, choose Add Service Agreement. Under Agreement Details, set Funding Type to Support at Home. Each agreement line carries the Services Australia Service ID, for example SERV-0001, in the same place an NDIS support item code goes. A client can have one active agreement per funding type.

Contribution categories

Teiro reads the category from the Service ID, using the Services Australia service list (reference data v1.3):

CategoryWhat the client pays
Clinical supportsNothing. The contribution is always 0%.
IndependenceThe client's independence percentage.
Everyday livingThe client's everyday living percentage.

A Service ID that is not on the list is treated as independence.

The estimate on each line is the line total multiplied by the client's percentage for that category.

The 1 October 2026 personal care change

From 1 October 2026, personal care moves from independence to clinical supports. That covers self-care, medication self-administration and continence services (SERV-0020, SERV-0021 and SERV-0022). Teiro decides by the service date, so a service delivered on 30 September is still independence and one delivered on 1 October is clinical.

Estimated and confirmed contributions

On a Support at Home client's Funding tab, the THIS QUARTER card shows:

  • Quarterly budget
  • Less care management (10%)
  • Available to spend
  • Spent (billed)
  • Remaining

Under CONTRIBUTIONS it shows Estimated and Confirmed by Services Australia. Confirmed reads None yet until Services Australia has confirmed a contribution. The estimate is a working figure. Only a confirmed contribution is ever invoiced to the client.

If the budget is blank, the card shows "No quarterly budget set. Add it on the Funding details."

Spent (billed) leaves out held, rejected, cancelled and written-off lines.

Why a line is held

Open Billing, choose a run, and open the Lines tab. A held line shows its reason underneath. These are the ones specific to Support at Home:

Reason shownWhat it meansWhat to do
No code matchThe agreement line has no Service ID.Add the Service ID to the agreement line.
Care recipient ID missingThe client has no Care recipient ID.Add it in the client's Funding section.
Service not in the approved listThe client has Approved services (Service IDs) filled in and this Service ID is not on it.Check the client's approved plan. Correct the list or the agreement line.
Item details needed (not yet supported)The service is an item or equipment service whose claim needs details Teiro does not capture.Leave it held. Approving it would send the line without those details.

The usual holds apply as well, for example No service agreement, No agreement line, Worker screening expired and Possible duplicate.

Held lines offer Approve (override), Hold for next run and Remove line. No code match offers only Hold for next run and Remove line.

Limits

Equipment and home modification items are held, not exported, yet. They stay on the Item details needed (not yet supported) hold.
