Export a Report to CSV, Excel or PDF
How to turn a Teiro report into a CSV, Excel or PDF file, with your filters and date range applied, and what the row limits and daily limit mean.
Overview
Any report on the export list can be taken out of Teiro as a file. You choose the format, the date range and the filters, Teiro tells you how many rows the file will have, and then it builds the file for you to download.
Exports are plain tables with readable labels: names, dates, statuses and totals as you see them on screen, not internal codes. They are meant for checking, sorting and sending on. If you need a document to keep, such as a care record or an incident register to hand to an auditor, use the printable record instead (see Exports and printable records).
Export is available on the web app, for admins and schedulers.
Step 1: Open the report and set your filters
From the Profile menu, open Reports and choose a report. Set the filters you want, such as worker, status or service type. These carry through to the file.
Reports you can export at the moment are Shifts delivered (the Job Delivery Summary), Services without a note, the Incident Register, Qualification Compliance and the Travel Log.
Step 2: Tap Export and choose your options
Tap Export in the report header. A sheet opens with:
- Format: CSV, Excel or PDF. CSV and Excel open in any spreadsheet. PDF is for reading or printing.
- Date range: a fixed range, or a moving one such as "Last week". See Choose a date range that moves.
- Filters: the filters you already set, shown as read-only chips so you can see exactly what will be in the file.
Before you export, Teiro counts the rows and tells you.
| What you see | What it means |
|---|---|
| Counting rows... | Wait a moment. The Export button is off until the count finishes. |
| 1,284 rows will be exported. | Good to go. |
| No rows match these filters. | The file will only have the column headings. Check your date range. |
| Over the row limit | The file is too big for this format. Narrow the date range or add a filter. |
| You have used all your exports for today. | The daily limit has been reached. It resets the next day. |
The limits: 1,000 rows for CSV and Excel, 100 rows for PDF, and 10 exports per person per day.
If the report includes health or incident details, the sheet says so: downloads are logged.
Step 3: Download the file
Tap Export. Teiro builds the file and gives you a download. The file is named after the report, so a week of exports is easy to tell apart.
Exported files are kept for 28 days and then deleted. If you need it again after that, export it again.
Common questions
Why can't I see the Export button? Export is on the web app only, and only for people with permission to export. Carers cannot export.
Does the export include everything I can see on the record? It includes what you are allowed to see. Reports run with your permissions, so a field you cannot see is not in your file.
Can I send the export to someone automatically? Yes. See Email a report on a schedule.
