Service Offers

Fill an unassigned shift without the group text.

Offer an unassigned service to a tier of eligible carers, regular team, preferred carers, or everyone eligible, straight from the scheduling board. See exactly how many carers are eligible before you send anything, then let the mode you chose decide how it resolves.

It isn’t an auction. There’s no bidding, no rate negotiation, no counter-offer. The organisation publishes fixed work, and a carer says yes or no. Safeguarding and preference exclusions are applied underneath it, silently, before anyone sees the offer.

How to Offer an Unassigned Service to Your Team in Teiro

A coordinator offers an unassigned service to a tier of eligible carers instead of ringing round, previews exactly who will see it before sending, and reviews who accepted once responses come in.

Watch the walkthrough

A real number before you send anything

The audience preview shows how many carers are actually eligible, how many are already booked elsewhere at that time, and how many are excluded, before the offer goes anywhere. “I think about six people can cover this” becomes a checked number, not a guess.

Exclusions are applied, never announced

A carer excluded from a client on safeguarding or preference grounds is never shown the offer in the first place. Teiro states that an exclusion applies without ever naming who it is or why, to anyone.

The panel states how the offer resolves, before you send it

Every offer resolves one of two ways: first carer to accept, or the coordinator reviews everyone who accepted and picks. The panel shows which one applies and why, and a coordinator can override it, but never sends an offer without seeing the mode first.

A carer sees enough to decide, not the client's file

Date, time, duration, suburb and the client's first name, that's it, unless the carer has worked with that client recently or is on their preferred list, in which case they see the full name. Clinical detail and care plan content stay hidden until the carer is actually rostered on.

How it works

1

Open Offer to team from the unassigned service

It isn't a separate screen. On an unassigned service, open Assign Worker and Offer to team sits alongside the usual candidate list, a second action for putting the service in front of a group of carers instead of choosing one directly.

2

Choose who hears about it

Three tiers: Regular team (carers who've already completed a service with this client, plus anyone on their named preferred list), Preferred carers only, or All eligible. Where a client's continuity requirement is set to regular team only, the wider tiers aren't available for that client, and the panel says why rather than just leaving them off.

3

Check the audience preview before sending

How many carers are eligible, how many are already booked elsewhere at that time, and how many aren't shown at all because of an exclusion. Where the eligible pool is very small, Teiro shows that there are enough carers to send to rather than an exact headcount, so a low number can't be narrowed down to a specific person.

4

Send, and let the mode do its job

Close to the start time, the first carer to accept gets the shift. Further out, the coordinator reviews everyone who put their hand up and chooses. Either way, an acceptance is re-checked against eligibility as of the shift date, and anything that trips a warning, a clash, a missing competency, too little rest since the carer's last shift, holds for the coordinator to review rather than assigning automatically.

5

Everyone who accepted finds out what happened

Once the coordinator decides, every carer who accepted is told the outcome, not just the one who got the shift. If nobody accepts, the offer simply closes and the service stays unassigned, the same as if it had never been offered.

Where this fits, and where it doesn’t

Offering to a tier of carers is built for the hours-to-days before a service, when there’s genuinely time for people to see it and respond. For an urgent same-morning gap, the phone is still the faster option, Service Offers doesn’t replace ringing round in an emergency.

It also isn’t a marketplace. There’s no bidding, no rates, and no negotiation. The organisation publishes fixed work, and a carer says yes or no. Every decline is recorded against the offer, but nowhere is it aggregated into a rate or a ranking.

Frequently asked questions

Does offering a service to a team skip the usual safety and eligibility checks?

No. The audience is filtered before the offer is ever sent, so a carer excluded from a client never sees it. If an acceptance would still trip a warning, a clash, a competency gap, or insufficient rest since the carer’s last shift, it’s held for the coordinator to review rather than assigned straight away.

Can I offer a service to one or two specific carers rather than a whole tier?

Not through Offer to team today. The choice is between Regular team, Preferred carers only, and All eligible. For one or two carers in mind, assigning directly is the quicker route.

Can a carer see who else was offered the service, or who else accepted?

No. A carer sees only their own offer and its own outcome. There’s no visibility into how many other carers were offered the same service or how they responded.

Is Service Offers a marketplace, with carers bidding on rates?

No. There’s no bidding, no rate negotiation, and no counter-offer. The organisation publishes fixed work at a fixed rate, and a carer says yes or no.

Is this the right tool for an urgent same-morning gap?

It’s built for the hours-to-days before a shift, where there’s genuinely time for carers to see the offer and respond. For a same-morning emergency, the phone is still the faster option.
