How to Email Shifts Delivered to Your Bookkeeper Every Friday in Teiro
A scheduler creates a report rule from the Shifts delivered starter: weekly, Friday at 5pm, last week's shifts, sent to the bookkeeper's email address as a secure link that expires in 24 hours. The rule shows its next send time and keeps a run history.

What this recording shows
This is a roughly 63 second screen recording of a scheduler setting up a report that emails itself every Friday in Teiro, the care management platform used by Australian NDIS and aged care providers. It was recorded on a desktop browser, on the real product, in the demo organisation. The bookkeeper's address is a test address.
Open Report rules
Report rules sits in the Automation group on the Reports screen. A rule says: when this happens, send this report, to these people. A new scheduler has no rules yet, so the screen says so and offers a plus button.
Start from Shifts delivered
The plus button opens a Start from sheet with three scheduled starters (shifts delivered, expiring credentials, services without a note), two event starters (an incident is raised, a service has not started) and a blank rule. In this recording the scheduler picks Shifts delivered.
Weekly, Friday, 5pm
The rule builder opens with a name, which can be changed, and four numbered steps. Step 1, When, is already set to a schedule that repeats weekly on Friday at 5:00 pm in the organisation's time zone, and the three next send times are listed so the schedule can be checked: Friday 30 October, Friday 6 November and Friday 13 November. A sentence at the top right reads the whole rule back in plain words.
Last week, worked out fresh every time
Step 2, Send, shows the report (Shifts delivered), any filters, and the date range, which is Last week. The builder shows the dates it would cover today, Monday 19 October to Sunday 25 October 2026, and notes that the range is re-calculated every time the rule runs.
Add your bookkeeper
Step 3, To, takes team members from a search list or any email address typed in. Typing the bookkeeper's address and tapping Add puts it in the list with an External tag, and a warning says one person outside the organisation will receive these emails and to check the addresses before saving. A card explains how recipients get the file: a link only, because attachments need an admin to switch them on.
The secure link
Step 4, Email, has an editable subject and message with details that can be inserted, such as the period dates and the number of rows. The preview on the right shows the email with sample values and states how it is delivered: a link to the file, sign-in required for team members, expiring in 24 hours.
Save and check the history
Saving returns to the Report rules list, where the new rule is active, shows its sentence, its report and recipient count, and its next run, Friday 30 October at 5:00 pm. Opening the rule and choosing Run history shows every send once there is one. A rule that has not run yet says so and says when its first run is.
