What this recording shows
This is a 53 second screen recording of a coordinator adding a one-off task to a single service in Teiro, the care management platform used by Australian NDIS and aged care providers, and then of the carer who works that service. The coordinator parts were recorded on a desktop browser and the carer part on a phone, in the Teiro carer app, on the real product.
Adding the task from the scheduler
On the scheduler board, the coordinator clicks the service to open its side panel. The panel's Detail tab has a Care Tasks section. In it, the coordinator chooses Add task for this service. A one-off task is for something that needs doing on that one service only, such as checking the side gate is locked.
Typing the task
The sheet that opens says the task is only for this service and does not change the support plan. The coordinator types the Task, up to 80 characters, for example Check the side gate is locked. The Instructions field is optional, up to 280 characters, and holds anything the carer needs to know to do it properly, for example that the latch sticks and the gate needs to be lifted slightly as it closes. Required is switched on by default. When a task is required, the carer is warned if it is still unanswered when they finish the service, but they can still check out. Choosing Add task saves it.
Where it appears
The new task appears at the top of the service's task list, tagged This service only, above the tasks that come from the client's support plan. A client does not need a support plan for this to work.
What the carer sees on shift
The carer opens the service from their home screen. The task is at the top of the Care Tasks list with the This service only tag, so it can be told apart from the plan tasks, and its instructions show under the task name. The carer answers it the same way as any other task, with Y, N or NA, and the counter updates, for example from 0 of 3 to 1 of 3. Carers cannot change or remove a one-off task. If something about it is wrong, they tell the office.
After it has been answered
Back on the scheduler, the coordinator opens the same service. The task now shows its answer and the label Locked once answered. A one-off task can be edited or removed from its row menu until a carer has answered it. After that it is locked, which keeps the record of what the carer was asked and what they said.
