How to Bill Support at Home in 2026: A Practical Guide
How to bill Support at Home: Service IDs, contributions, claiming in the Provider Portal, the 60-day deadline, monthly statements and care management.
How do you bill Support at Home?
You deliver services recorded against a Service ID, claim them through the Aged Care Provider Portal (or an API) within 60 days of the end of the quarter, collect any participant contribution, and send each participant a monthly statement. The steps below follow that order. Sources are the Department of Health and Services Australia; check the current rules on health.gov.au before you rely on a figure.
1. Record each service against a Service ID
Prices and billable units are set per service type on the Services Australia Support at Home service list, and each service has a Service ID (for example SERV-0001). Record the Service ID when you book the service, not when you claim, or you will be chasing missing IDs at the deadline. You set your own prices. There are no price caps at present, and prices must be reasonable, transparent and cost-based, published on your website and the My Aged Care portal.
2. Know which contribution applies
Each service type sits in one of three contribution categories: clinical supports, independence and everyday living. The participant contributes nothing to clinical supports, a moderate share to independence and the highest share to everyday living. The percentages come from the participant's letter from Services Australia, not from your assumptions.
From 1 October 2026, personal care moved from independence to clinical supports for contribution purposes. The date of service decides: a service on 30 September follows the old rule, and one on 1 October follows the new one. Source: Department of Health.
3. Claim
Log in to the Aged Care Provider Portal with PRODA and import a CSV, or use the business-to-government APIs. You choose how often to claim, but claims are due within 60 days of the end of the quarter. The next deadline is 29 November 2026, for July to September. Payment is expected within 7 days. The exact CSV fields come from the Services Australia sample files, so build to those rather than to a vendor's description. Our free invoice CSV checker runs in your browser.
4. Invoice the contribution
Invoice the participant only the contribution Services Australia confirms. An estimate is useful for planning, but a confirmed figure is the one you can ask a participant to pay. If a figure changes after you invoiced, review it rather than silently altering the invoice.
5. Send monthly statements
A statement is due to each participant by the last day of the following month, even if they had no services. Include their funding, what was spent, what is left and the services delivered.
6. Deliver and evidence care management
Care management is funded by a 10 per cent deduction from the quarterly budget and has no participant contribution. Expect at least one direct care management activity each month. See care management and the 10 per cent.
7. Watch the budget
The quarterly budget is one pool, and unspent funds can carry over within a limit. See the quarterly budget and carryover.
How Teiro does this
Teiro turns each completed service into a billing line carrying the Service ID, the contribution category and an estimate. A billing run builds the claim file, you import it in the portal, mark it submitted, then import the payment statement. Confirmed contributions are invoiced to the client, and statement PDFs are generated per client. Teiro does not lodge the claim, and equipment and home modification items are held and not exported. Step by step: billing, claiming, invoicing contributions, statements.
